Documents can be stored with or without folders. Folders are useful to organize documents by use or category. For example, forms, checklists, or procedures.
Folders can be nested. For example, a Forms folder can have one or more additional folders within, such as Forms > Incident Report Forms (folder).
Adding a Folder
- To add a folder, click the Add Folder button
- The Add Folder dialog box appears. Create a name for your folder, and click Add Folder.
- A success banner appears at the top of the page to confirm folder creation.
- By default, your new folder will appear alphabetically in your list of documents and folders.
Adding a Document
- Navigate to the location you want the document stored. Click the folder name to open that folder.
- To add a single or multiple documents, click the Add Documents button
- Your Windows or MacOS file selection dialog box will appear. Navigate to the location of your file(s) and select the document(s) to upload. Click Open to begin the upload.
- A success banner appears at the top of the page to confirm upload.
- By default, your new documents will appear alphabetically in your list of documents and folders.
Document
Documents: Sort and Search
- To search Folder names, enter your search term under the Type heading.
- To search for document names, enter your search term under the Name heading.
- To toggle the sort order between ascending and descending, click the three-lined icon next to the column name.
Editing Documents and Folders
- Click the three-dot menu next to the Folder or Document you wish to change and choose Edit.
- Edit your Folder name or Document details. Click the Save button to confirm your edits.
- A success banner appears to confirm your changes.
Deleting Documents and Folders
- Click the three-dot menu next to the Document or Folder you wish to remove and choose Delete.
- Select the Document or Folder name that you wish to delete. Click the Yes, Delete Folder or Yes, Delete File (or Yes, Delete Folder) button to confirm. A success banner appears to confirm your deletion.
- NOTE: If you delete a Folder, all Documents and Folders within that Folder will also be permanently deleted.
Upload Log
The Upload Log is an activity record on all upload activity by filename, as well as the user details, time and date, and status.
- To access the Upload Log, click the View Upload Log button.
